Role & Team

You will come on board at a truly exciting time, and as a member of the Corporate Inhouse Legal team; you will play a pivotal and crucial part in providing administrative support to the Executive Vice President and General Counsel as well as the Legal Team in the US. This is a highly visible position, so professionalism, polish and confidentiality are of the utmost importance.

The Legal Admin position will also involve

Document Processing - Type various legal documents, spreadsheets, PowerPoint presentations, organizational charts, memos, minutes, letters, contracts and presentations prepared by other Legal Department members and ensure an accurate and professional presentation at all times. Proactively ensure legal documents and templates are produced in a consistent style and format. Manage contract signing process by preparing signing memos, ensuring original contracts are properly executed by the correct legal entities, and distributing fully executed contracts to relevant parties.

Time Management and Communication Effectively and proactively communicate with all department members on areas where assistance is needed; provide prior notice of planned absences and workload coverage during absences; manage expectations of department members project priorities and turnaround time.

Legal Invoice Processing - Process invoices and fee offers from all outside counsel law firms, circulate for internal approvals, maintain spreadsheet of invoices processed and act as a liaison with outside counsel billing coordinators. Prepare monthly accruals.

Meeting Planning - Schedule meetings and organize meetings/conferences and activities on behalf of all department members to include site location, managing audio-visual resources teleconferences and video conferences, preparation of presentations, catering and miscellaneous meeting and events. Administer meetings using WebEx as requested.

Travel Management- Coordinate flight and travel arrangements and process expense reports.

Sharepoint Administrator administer and maintain department Sharepoint sites to include setting up new sites; setting up access for new users; instructing new users; assisting with site management as needed.

Calendar Management - Organize, monitor, and manage calendars of the Executive Vice President and General Counsel on a daily basis to ensure no overlapping or conflicts with daily schedules.

Recordkeeping/Filing Organize, index, file and maintain department files in compliance with company document retention guidelines.

Notary Notarize documents and obtain Apostilles.

Mail/Overnight Courier Management - Coordination to include daily distribution of mail to department members and assistance with overnight courier and special mail handling requests.
